How to Bulk-Update Shopify Inventory With a Barcode Scanner
Anyone who has done a full stocktake in the Shopify admin knows the pain: search for a product, click into it, find the right variant, type a number, save, repeat — a thousand times. It’s slow, and every manual keystroke is a chance to introduce an error.

Before you start: make sure products have barcodes
Barcode scanning only works if your variants carry a barcode (UPC, EAN, or your own SKU-based code) in Shopify. Two ways to get there:
- If your suppliers ship with manufacturer barcodes, store those in the variant’s Barcode field.

A simple, reliable scanning workflow
1. Start a scan session
Group your work into a session — for example, “July receiving” or “Aisle 3 count.” Sessions keep an audit trail so you can see exactly what changed and when.
2. Choose what a scan does
Decide the action up front so each scan is unambiguous:
- Add one unit per scan (great for receiving).
- Set an absolute count (great for stocktakes).
- Remove on scan (for damages or write-offs).
3. Scan continuously
With the action locked in, scanning becomes a rhythm. A hardware scanner or a phone camera both work — you don’t need to touch the keyboard between items.
4. Review and commit
Before pushing changes live, review the session summary. You’ll catch the occasional double-scan or wrong-aisle item before it hits your live inventory, not after.

Tips for accurate counts
- Count in defined zones so two people never scan the same shelf.
- Reconcile deltas, not totals — investigate any product where the scan count and Shopify disagree by more than a unit or two.
- Print labels for anything unscannable on the spot, so no item gets skipped.
